IntelliTuition is an all-in-one management platform built for a fast-growing tuition center chain in the Klang Valley that was struggling to coordinate operations across three branches. The system consolidates student enrolment, class scheduling, attendance tracking, fee collection, and parent communication into a single web application — replacing a patchwork of spreadsheets, WhatsApp groups, and manual receipt books. A parent-facing mobile portal keeps families informed about their child's progress and upcoming payments.
The Challenge
The tuition center chain managed each branch with separate Excel files and relied entirely on WhatsApp for parent communication and fee reminders. With over 400 active students, the administrative team spent more than 30 hours per week on manual data entry, chasing overdue payments, and answering repetitive parent queries about class schedules.
Our Solution
Gotchaa Lab built IntelliTuition as a multi-branch SaaS application with role-based access for admins, teachers, and parents. The scheduling engine handles recurring class timetables and substitution assignments. Automated invoice generation and payment reminders are sent via WhatsApp Business API when fees are due. A real-time attendance QR code check-in system eliminates paper registers, and parents receive instant notifications when their child checks in or misses a class.
